A room has physics before it has a theme. The number of seats written on this sheet has to equal the confirmed headcount from the guest list, not the invited one — count real table capacity before making promises to anyone about where they sit.
In many venues, the caterer's final headcount locks 10 to 14 days before the event, and from that point it only moves up: the kitchen buys perishable food against that number, so a guest who declines late still gets billed and a guest added late needs a real seat found for them. Building the table plan only once that number is real, rather than as soon as invitations go out, avoids redoing the chart twice.
When the ceremony and the reception share the same room, the flip between them is a timed, staffed operation that in many venues consumes the whole cocktail hour. Ask the venue in writing how many minutes the flip takes and how many hands it needs — that answer belongs on this sheet, next to the table count, not assumed.
